Customer Portal
What is the Customer Portal?
Share quotes with your clients via a secure, no-login portal where they can accept, decline, or request changes. Every view and action is tracked so you know exactly when your client engages.
The Customer Portal lets clients view, accept, or request changes to quotes without needing a login. You send a secure token-based link, and clients see a branded page with quote details and action buttons. Every view and PDF download is tracked so you know when your client engages and what they looked at.
What you and your clients can do
- Share quotes via a secure token-based link that requires no passwords or accounts.
- Display your company branding on every portal page with logo and custom text.
- Let clients accept quotes with a typed-name e-signature recorded with a tamper-evident hash and timestamp.
- Allow clients to request changes with a free-text message that creates an in-app notification.
- Track every view and PDF download with a full engagement timeline showing who viewed and when.
- View a conversation thread with every message exchanged between you and your client.
- Show a payment status banner on the portal when the finance approval gate is enabled.

🔑 Sales reps and managers⏱ Under 1 minute per task
Share a quote with your client
- Open the quote and click the Share button.
- Choose Portal Share. Enter your client's name and email address.
- Optionally add a personal message. It appears in the email and starts the conversation thread on the portal page.
- Click Send. Your client receives a branded email with a secure link that does not require a login.
- The share is logged. Any future portal activity on this quote appears in the engagement timeline on the quote detail page.
What your client sees and does
- Your client opens the link from their email.
- They see the quote summary: line items grouped by section, totals, your company branding, and any notes you added.
- They can download a branded PDF of the quote. Each download is tracked and shown in your engagement timeline.
- To accept: they type their name and email, check the consent box, and click Accept. The quote closes automatically and you get notified.
- To request changes: they type a message and click Send. You get a notification with a link back to the quote. The message appears in the conversation thread.
- If the payment status banner is visible, it tells them whether their payment is pending, paid, or still being reviewed.
Track portal engagement for a quote
- Open the quote detail page in Quotery.
- Look for the Engagement section in the right sidebar or activity panel.
- The timeline shows every portal view (with timestamps and recipient email) and every PDF download.
- Use this data to prioritize follow-ups. Multiple views plus a PDF download is a strong buying signal. Zero views after a week means the client may not have seen the quote.
- If your plan includes portal engagement analytics, navigate to the Engagement page for a company-wide view of all portal activity.
Common scenarios
A client accepts — what happens on your side
- The client clicks Accept, types their name and email, and checks the consent box.
- The quote status flips to closed or ready for billing if the finance gate is on.
- Quotery reserves stock and creates a draft delivery note automatically.
- The sales rep receives an in-app notification and email with the acceptance details and timestamp.
- The acceptance is recorded with a tamper-evident signature hash for your records.
Your client wants changes — the back-and-forth
- Open the notification that arrives when your client sends a change request.
- Open the quote and read the message in the conversation thread.
- Make the requested adjustments to the quote.
- Share again via the same portal link. Re-sharing sends a fresh email to the client.
- Check the engagement timeline to confirm the client viewed the updated quote.
